Minutes of Volunteers meeting now online
BPNW's new volunteer management team recently held their first meeting with our growing volunteer workforce.

Agenda
Complaints
Person 2 confirmed any future complaints from volunteers to be written down and submitted to her or DB for action.
Person 5 confirmed that complaint forms are obtainable from reception and may be submitted anonymously.
Volunteer representatives
Two volunteer representatives (vrs) will be elected to speak for the volunteers’ group, as in the case for each of the other six groups, i.e. Beeches, Gay Men, Straight, (Virtual Women, Baobab and Youth.
These 14 reps will form the Service Users Forum (suf).
vrs should be non-paid members / service users.
Person 1 suggested that term of office for vrs be flexible to encourage more volunteers to participate / contribute.
vr nominations to be solicited via form with next mail out and email / phone contact.
Person 2 suggested deadline for elections be set at end of first week in September.
Person 2 requested for all present to assist with updating volunteer contact details to determine active / opt out members.
Person 4 also suggested that cross-group vrs – e.g. vrs who attend Gay Men’s Space – keep their agenda specific to the volunteers’ group.
Person 1 requested for remit on vr’s role.
Person 3 highlighted income generation as reps’ main priority.
Fundraising team (ft)
Person 2 confirmed setup of ft within volunteer’s group and the need for members.
Person 5 suggested asking MK to head ft.
Person 4 suggested feedback for fundraising ideas come from all paid members and service users.
Person 1 added the need to set date for fundraising meeting or alternatively for members to email ideas in.
Pride weekend – stall cover
Saturday and Sunday, 11:00 to 19:00hrs; Monday 12:00 to 17:00hrs.
Person 5 reiterated the need for cover during this period.
Volunteer training (vt)
Person 3 confirmed the autumn vt / info period – 6th September to 15th December.
vt workshop to be held 16th and 17th September and repeated 4th and 5th October from 9:30 to 16:30hrs daily.
Person 5 confirmed that all volunteers have to attend a vt workshop over the Autumn / Spring 2008–09 period as crb checks will be run concurrently during these sessions.
Person 3 also provided the workshop themes for the following months:
September – Fundraising
October – Health
November – Speaking out
December – Celebrating ourselves. Drama workshops throughout this period.
Person 3 will post dates / info on web site as soon as possible when confirmed.
Any other business
Y Club membership
Person 4 brought up the issue of free membership to Y Club.
Person 5 confirmed that this is currently under review.
Volunteer recognition
Person 5 suggested a volunteer of the month programme to recognise the contributions of volunteers.
Person 1 confirmed this will be taken on board.
Newsletter – volunteer pages
Person 5 suggested the provision of articles / contributions / ads from volunteers. Deadline for submission to be considered.
Training for volunteers
Person 4 suggested putting in place specific fundraising for relevant training courses for volunteers.
